In accordance with the provisions of the Freedom of Information Act, anyone may request that Kochi University disclose the corporate documents in its possession.
Documents subject to disclosure requests
The documents subject to disclosure are those held by Kochi University that are used systematically by its officers and employees, including documents, drawings, and electronic records (such as those stored on floppy disks or videotapes).
However, this does not apply to commercially available materials such as books, or to historical or cultural materials, or materials intended for academic research, that are subject to special management for the purpose of public access at university libraries, museums, archives, or other similar institutions.
How to Request Disclosure
Please consult with the Information Disclosure Office, fill out the necessary information on the Request for Disclosure of Corporate Documents form, and submit it to the office.
If you know the specific corporate documents you wish to request, you may also submit your request by mail.
A fee (disclosure request fee) is required for disclosure requests.
Notice of Decision on Disclosure or Non-Disclosure
As a general rule, a decision on whether to disclose or withhold information will be made within 30 days and notified in writing.
If a decision cannot be made within this period due to administrative difficulties or other valid reasons, the deadline may be extended.
Implementation of Disclosure
If you have received a notice of a disclosure decision, please select your preferred method of disclosure (viewing on-site, receiving a copy, the date and time of disclosure, or having a copy mailed to you) and submit your request using the Request Form for Disclosure Method (included with the notice of disclosure decision) within 30 days of receiving the notice.
You may specify your preferred method of disclosure in advance on the disclosure request form.
If you would like a copy sent to you, please pay the postage with stamps.
Once the method of disclosure has been determined, please bring the Notice of Disclosure Decision to the Information Disclosure Office at the designated time and date.
