How to Obtain and Processing Time

The process varies depending on the type of certificate, so please review items 1 through 9 below and allow plenty of time when applying.

Important Notes

Student ID number

The university uses the student ID number printed on your student ID card to process course registration, grades, and changes in student status electronically. Please ensure that you enter your student ID number accurately on all forms.

Certificate Vending Machine

The types of certificates available from the automatic certificate issuance machine include certificates of enrollment, certificates of expected graduation (completion), individual transcripts, course registration confirmation sheets, medical examination certificates, and student discount cards.
Please follow the on-screen instructions and enter your student ID number, password, and purpose of use by tapping the screen.
The available time isWeekdays from 8:30 AM to 5:15 PMThis is the deadline. Please allow plenty of time, as the service may be unavailable due to data updates or other reasons.

1) Student ID

Your student ID card serves as proof of your student status and is required when entering classrooms, laboratories, and other facilities; when using the library; when taking exams; and when requesting official documents. Staff may ask to see your ID card, so please carry it with you at all times, follow the guidelines printed on the back, and handle it with care.
*If you leave the university due to graduation, withdrawal, or other reasons, you must return your student ID card.
Since your student ID card is required until graduation, if you lose it, please report the loss immediately to the designated office and request a replacement.
Please note that a replacement fee of 1,700 yen will be charged for lost or damaged cards, and it takes approximately 1–2 weeks to issue a new card.

2) Certificate of Enrollment and Student Commuter Pass Application Form

If you wish to purchase a commuter pass for commuting to school via JR, train, or bus, you will need a commuter certificate issued by the university or a student commuter pass application form.
Please apply using the designated form well in advance of your intended purchase date.

3) Student Fare Discount Certificate

Student discount cards are valid only when traveling on Japan Railways (JR) for one-way trips exceeding 100 km for purposes such as returning home, formal educational activities, extracurricular educational activities, job interviews, or educational field trips, and provide a 20% discount on standard passenger fares. Please use the "Certificate Issuing Machine" to obtain a student discount card.

If you misuse a student discount card, a certificate of enrollment, or a student commuter pass application form, or allow others to do so, you will not only be required to pay a surcharge but will also be charged with a criminal offense, soPlease do not misuse this under any circumstances.

4) Certificate of Enrollment

Please use the "Certificate Issuance Kiosk" to obtain a Japanese-language Certificate of Enrollment.
To obtain an English-language Certificate of Enrollment, please submit a request at the designated office. Please allow ample time for processing, as same-day issuance is not available.
Estimated processing time: Japanese: Same day; English: Approximately one week

5) Certificate of Expected Graduation (Completion)

A Certificate of Expected Graduation (Completion) is a document used for employment, further education, and obtaining professional qualifications.
Students in their final year who are expected to graduate (complete their program) can obtain this certificate from the "Certificate Issuing Machine."
Please use the "Certificate Issuing Machine" to issue Japanese-language Certificates of Expected Graduation (Completion).
For English-language certificates of expected graduation (completion), please apply at the designated office. Same-day issuance is not available, so please apply well in advance.
Estimated processing time: Japanese: Same day; English: Approximately one week

6) Transcript 

Academic transcripts are documents used for employment, further education, and obtaining professional certifications. Since academic transcripts cannot be issued via the "Automatic Certificate Issuing Machine," please submit your request at the designated office. Please note that same-day issuance is not available, so please allow ample time when submitting your request.
Estimated processing time: Japanese: 2–3 days; English: 1–2 weeks 

7) Individual Report Card

Individual transcripts are intended for students to check their grades and credit status. While we recommend checking them via the "KULAS Academic Information System," they can also be printed at the "Automatic Certificate Issuing Machine." Individual transcripts for the first semester will be available around late August, and those for the second semester around late February.

8) Course Registration Confirmation Form

This is for students to check the courses they have registered for. While we recommend checking via the "KULAS Academic Information System," you can also print a copy using the "Automatic Certificate Issuing Machine." Please note that if you have not officially registered for a course, you will not receive credit even if you attend the class, so please be sure to verify your registration.

9) Medical Examination Certificate

This certificate is required for job hunting, internships, sports competitions, and other activities. You can obtain it from the "Certificate Issuing Machine" after completing your spring routine health checkup. Certificates will be available in late April. Please note that you will not be able to obtain a certificate if you have not yet completed any follow-up tests required as a result of your routine health checkup.

10) Certificates regarding other qualifications, etc.

For inquiries regarding the issuance of other certificates related to qualifications (such as certificates of expected teacher certification, academic achievement certificates, curator qualification certificates, certificates of completion of training for school librarians, and certificates of completion of Japanese language teacher training courses), please contact the relevant office. Please note that some certificates may take approximately one to two weeks to issue, so please apply well in advance.
