Requests for Faculty and Staff to Engage in Outside Employment (Faculty and Staff Outside the School of Medicine)
University faculty and staff members who wish to engage in secondary employment (i.e., work other than their primary duties) must obtain prior approval from the President.
Approval cannot be granted retroactively.
If you wish to request that a university faculty or staff member engage in secondary employment , please submit your request in accordance with the guidelines below, allowing at least one month’s notice.

[Important Notes Regarding the Period of Employment]
As a general rule, the period during which you may engage in the business is limited to two years.However, if a term of office is specified in laws and regulations (including ordinances, bylaws, guidelines, articles of incorporation, and deeds of donation), permission may be granted for a period not exceeding that term; therefore,If you are requesting a term of service of two years or more, please attach any regulations or other documents specifying the term of office for committee members..
Please note that,In either case, you can renew the term, so please follow the same procedure for renewals..

Regarding the Submission of Response Documents
As a general rule, we will not provide a written response.
If you require a written response, we will email you copies of the approved Request for Permission to Engage in Outside Employment and the Application for Permission to Engage in Outside Employment. If you absolutely must receive a written response in hard copy, please include a self-addressed, stamped envelope with your address clearly marked (please note that written responses are provided only to full-time university staff).
Please note that if we are unable to accommodate your request regarding the side job, we will contact you.
Regarding Ensuring Adequate Rest Periods
When requesting university staff to take on additional work, please ensure that they are allowed sufficient time to rest, taking travel time into account.
Requests for Faculty and Staff to Engage in Outside Work (Faculty and Staff of the School of Medicine)
University faculty and staff members who wish to engage in secondary employment (i.e., work outside their primary duties) must obtain prior approval from the President. Retroactive approval is not permitted.
If you wish to request that a university faculty or staff member engage in secondary employment, please submit your request in accordance with the guidelines below, allowing at least one month’s notice.
*Please note that any work performed outside of one’s primary duties is considered a secondary employment, regardless of whether travel expenses or compensation are involved. If you wish to request that a faculty or staff member of this university engage in secondary employment, you must submit a Request for Secondary Employment form.
Please be aware that if you do not submit the Request for Secondary Employment form, your request may be denied.
※Although the side job procedures apply only to full-time staff, we may ask part-time staff to submit a Request for Side Job Approval for the purpose of managing working hours. Please consult your respective department regarding side jobs for part-time staff.

Starting in fiscal year 2025 (FY2025), the format of the request form for long-term outside employment for Faculty of Medicine faculty and staff will be revised .
*For short-term outside employment, please use the existing request form and application for permission for outside employment.
For outside employment in fiscal year 2024 (FY2024), please use the existing request form and application for permission for outside employment, as with short-term outside employment.
Part-time work
This applies to part-time work lasting one day, or part-time work lasting between two and six days with a total of less than 10 hours.

Long-term part-time work
Any work that exceeds the criteria for short-term part-time work is considered long-term part-time work.

*Note: For staff members working at the University Hospital (including those affiliated with clinical departments), it is necessary to disclose the details of funding received from companies and other entities; therefore, please report remuneration amounts as "gross amounts including consumption tax and before withholding tax."
*Please note that due to reforms regarding physicians’ working conditions, when requesting medical services from a physician, please provide detailed information regarding working hours in accordance with the application form.

Please submit requests for long-term part-time positions in Excel format.
Please send requests for physicians directly to the medical office.
Disclosure of Funding Status
In accordance with the "Guidelines on the Disclosure of Funding from Companies and Other Entities" established by the Conference of Directors of National University Hospitals, national university hospitals—as public institutions—disclose the amounts of funding received by medical staff working at these hospitals from companies and other entities through secondary employment or similar activities, broken down by department. This initiative aims to ensure transparency regarding such funding, uphold high ethical standards, and promote the appropriate advancement of industry-academia collaboration activities by fostering public understanding and cooperation.
